Terms of service
Avari Events Limited
Terms & Conditions of Booking, Event Styling & Hire Services
These Terms and Conditions apply to all bookings, quotations, event styling services, design services, hire agreements and related services provided by Avari Events Limited ("Avari Events", "we", "us" or "our").
By accepting a quotation, paying a deposit, confirming a booking, or instructing Avari Events Limited to provide Services or Hire Items, the Client ("you", "your" or "the Client") agrees to be bound by these Terms and Conditions.
These Terms and Conditions form part of the agreement between Avari Events Limited and the Client. No verbal agreement, representation, amendment or variation shall be binding unless confirmed in writing by an authorised representative of Avari Events Limited.
1. DEFINITIONS & INTERPRETATION
For the purposes of these Terms and Conditions, the following definitions apply:
"Avari Events", "we", "us" or "our" means Avari Events Limited.
"Client", "you" or "your" means the individual, company, organisation or authorised representative entering into an agreement with Avari Events Limited and accepting responsibility for payment and compliance with these Terms and Conditions.
"Event" means the wedding, celebration, corporate function, private event or occasion for which Avari Events Limited has been engaged.
"Venue" means the location where the Event takes place, including access areas, loading areas, storage areas and any surrounding areas used for delivery, installation, set-up or collection.
"Hire Items" means any furniture, décor, styling items, props, linen, floral arrangements, structures, accessories, equipment or other goods supplied by Avari Events Limited on a hire basis.
"Services" means any event styling, design consultation, planning, delivery, installation, set-up, collection or other services provided by Avari Events Limited.
"Booking" means the confirmed agreement between Avari Events Limited and the Client for the provision of Services and/or Hire Items.
"Quotation" means the written proposal, estimate, pricing document or invoice issued by Avari Events Limited.
Headings are provided for convenience only and shall not affect the interpretation of these Terms and Conditions.
2. QUOTATIONS
All quotations issued by Avari Events Limited remain valid for fourteen (14) calendar days from the date of issue unless otherwise stated.
A quotation does not constitute a confirmed booking and does not guarantee availability of any date, Venue, Service or Hire Item.
Availability remains subject to confirmation until:
(a) the required deposit has been received; and
(b) written confirmation of the Booking has been issued by Avari Events Limited.
Avari Events Limited reserves the right to amend or withdraw quotations after the stated validity period.
Prices provided within quotations are based on the information available at the time of preparation. Additional charges may apply where there are changes to the Client’s requirements, Venue restrictions, access arrangements, labour requirements, quantities, timings or other circumstances affecting the Booking.
Avari Events Limited reserves the right to correct genuine errors or omissions in quotations, invoices or written communications.
3. ACCEPTANCE OF BOOKING
A Booking shall only be confirmed once:
(a) the Client has accepted the quotation and these Terms and Conditions; and
(b) the required deposit has been received by Avari Events Limited.
Payment of the deposit constitutes acceptance of these Terms and Conditions and creates a legally binding agreement between Avari Events Limited and the Client.
The Client is responsible for ensuring that all information supplied to Avari Events Limited is accurate and complete, including:
- Event date;
- Venue details;
- timings;
- guest numbers;
- measurements;
- layout requirements;
- styling requirements; and
- any other information required to provide the Services.
Avari Events Limited accepts no responsibility for delays, additional costs or misunderstandings arising from inaccurate, incomplete or late information supplied by the Client.
All instructions, amendments, approvals and changes must be provided in writing.
4. DEPOSITS & PAYMENT TERMS
A minimum non-refundable deposit of thirty percent (30%) of the total Booking value is required to secure the date unless otherwise agreed in writing.
The deposit covers administration, design preparation, planning time, diary allocation, stock allocation and loss of availability for the Event date. The deposit is therefore non-refundable except where required by law.
Where a reduced deposit has been accepted, any outstanding deposit balance must be paid within fourteen (14) days of the initial payment unless otherwise agreed in writing.
The remaining balance must be paid in full no later than thirty (30) days before the Event date.
Failure to make payment by the required deadline may result in:
- cancellation of the Booking;
- retention of the deposit;
- removal of the Event date from Avari Events Limited’s diary;
- refusal to provide Services or Hire Items; and/or
- the Client remaining liable for outstanding amounts due.
Avari Events Limited reserves the right to suspend preparation, production, delivery or installation until all required payments have been received.
All payments must be made using the payment methods provided by Avari Events Limited.
Any bank charges, transaction fees or payment processing charges shall be the responsibility of the Client unless otherwise agreed in writing.
5. CANCELLATION, POSTPONEMENT & DATE CHANGES
All cancellations, postponements or requests to change an Event date must be submitted in writing by the Client.
Once a Booking has been confirmed, Avari Events Limited may have declined other enquiries, reserved stock, allocated staff, purchased materials and committed resources specifically for the Client’s Event.
For this reason, cancellation charges apply.
The deposit paid is strictly non-refundable.
Where the Client cancels a Booking:
- cancellations made more than thirty (30) days before the Event date will result in the Client forfeiting the deposit paid;
- cancellations made within thirty (30) days of the Event date will result in the Client becoming liable for the full Booking value.
Failure to make payment does not constitute cancellation and does not remove the Client’s payment obligations.
Where the Client requests to postpone or move an Event date, Avari Events Limited will consider the request subject to availability.
A date change is not guaranteed and remains entirely at the discretion of Avari Events Limited.
If a new date is agreed:
- the original deposit remains non-refundable;
- additional costs arising from supplier price increases, availability issues or changes in requirements may apply;
- the Client remains responsible for all agreed charges unless otherwise confirmed in writing.
Avari Events Limited reserves the right to treat a postponed Booking as a cancellation where a suitable alternative date cannot be agreed.
6. DELIVERY, INSTALLATION, SET-UP & COLLECTION
Where included within the Booking, Avari Events Limited will deliver, install and collect Hire Items at the agreed Venue and times.
The Client is responsible for ensuring that:
- the Venue is accessible at the agreed delivery and collection times;
- suitable parking, loading and unloading facilities are available;
- access routes are clear, safe and suitable for installation;
- the Venue is ready for set-up upon arrival;
- sufficient space is available for all agreed styling elements and Hire Items;
- any required Venue permissions have been obtained.
Any delay caused by the Client, Venue, guests, contractors, suppliers or any third party may affect installation, styling or collection times.
Avari Events Limited shall not be responsible for delays arising from:
- restricted access;
- unavailable loading areas;
- venue delays;
- security procedures;
- venue staff instructions;
- parking restrictions;
- incorrect information supplied by the Client; or
- circumstances outside our reasonable control.
Where delays occur outside Avari Events Limited’s control, additional charges may apply, including:
- additional labour;
- waiting time;
- additional travel;
- storage charges;
- return visits; or
- other reasonable costs incurred.
Delays in collection beyond the agreed collection time will incur a charge of £150 per hour or part thereof unless otherwise agreed in writing.
Where parking fines, penalties or charges occur due to circumstances outside Avari Events Limited’s control, the Client shall reimburse all reasonable costs incurred.
Avari Events Limited may use suitable installation methods, including adhesive tape, cable management products, protective coverings or other fixing methods where reasonably required for safety or installation purposes.
Avari Events Limited accepts no responsibility for marks, residue or damage caused by such methods unless caused by our negligence.
The Client must provide accurate floor plans, measurements and layout instructions no later than four (4) weeks before the Event date where required.
Where accurate information is not provided, Avari Events Limited reserves the right to make reasonable decisions regarding placement, styling and installation. Additional charges may apply where further work is required.
7. HIRE ITEMS, LOSS, DAMAGE, THEFT & UNAUTHORISED REMOVAL
The Client accepts full responsibility for all equipment, décor and hire items supplied by Avari Events Limited from the time of delivery until collection by Avari Events Limited.
All hired equipment, décor, florals (excluding fresh flowers where expressly agreed), containers, vases, stands and accessories remain the sole property of Avari Events Limited at all times and must not be sold, given away, disposed of, or otherwise transferred to any third party.
The Client shall be liable for any loss, theft, damage, destruction or non-return of hired items, regardless of cause, except where directly caused by the negligence of Avari Events Limited.
Where any hired item is lost, stolen, damaged beyond economical repair, or not returned, Avari Events Limited reserves the right to invoice the Client for:
- the full current market replacement cost of the item(s), regardless of the original purchase price or depreciation;
- all reasonable costs of sourcing, purchasing, manufacturing, transporting, delivering, installing and commissioning replacement equipment;
- all reasonable repair costs where repair is possible;
- the reasonable cost of hiring replacement equipment to fulfil existing customer bookings;
- reasonable administration, investigation and recovery costs incurred as a result of the loss or damage; and
- any other direct and reasonably foreseeable losses incurred by Avari Events Limited arising from the loss, damage or non-return of the hired items.
Where the loss, damage or non-return of hired equipment prevents Avari Events Limited from fulfilling confirmed customer bookings, the Client shall indemnify Avari Events Limited for all direct financial losses reasonably incurred, including but not limited to:
- the cost of hiring equivalent replacement equipment;
- refunds or compensation paid to customers;
- additional labour, transport or logistics costs; and
- any proven loss of profit arising directly from cancelled, delayed or reduced bookings.
Replacement charges shall be calculated using the current market cost of obtaining equivalent replacement equipment at the date of loss.
Any invoice issued under this clause shall become immediately due and payable unless otherwise agreed by Avari Events Limited in writing.
It is strongly recommended that a Client representative remains on site until all hired items have been collected by Avari Events Limited to verify that all equipment has been returned in good condition.
8. DAMAGE DEPOSIT
Where applicable, Avari Events Limited may require a refundable damage deposit in addition to the Booking balance.
The damage deposit is held as security against:
- loss;
- theft;
- missing items;
- damage;
- excessive cleaning;
- additional labour;
- late collection;
- repair costs; or
- any other reasonable costs arising from the Booking.
The damage deposit will be returned within seven (7) days following the Event, subject to:
- all Hire Items being returned;
- all items being in their original condition;
- no outstanding charges being identified.
Avari Events Limited reserves the right to deduct any reasonable costs relating to loss, damage, cleaning, replacement or additional labour from the damage deposit.
Where costs exceed the damage deposit amount, the Client remains responsible for payment of the remaining balance.
9. EVENT DAY SECURITY & RESPONSIBILITY FOR HIRED ITEMS
Once Hire Items, styling elements, décor, floral arrangements or other items supplied by Avari Events Limited have been delivered and installed at the Venue, responsibility for their care and security remains with the Client until collection by Avari Events Limited.
The Client must take reasonable steps to ensure that all Hire Items and styling elements remain protected throughout the Event.
The Client is responsible for ensuring that:
- guests do not remove, relocate, dismantle, damage or interfere with Hire Items;
- children and guests do not misuse décor, installations, furniture, props or equipment;
- venue staff, suppliers and contractors do not dispose of, remove or damage Hire Items;
- items awaiting collection remain in their original location and are accessible.
Avari Events Limited strongly recommends that the Client appoints a responsible person, venue coordinator or event representative to monitor Hire Items and styling installations during the Event.
Avari Events Limited accepts no responsibility for loss, theft, damage or unauthorised removal caused by guests, venue staff, suppliers, contractors or any third party after installation has been completed.
Where Hire Items, floral arrangements, décor or styling elements are removed, taken away, misplaced or damaged during or after the Event, the Client remains fully responsible for all resulting costs.
This includes, but is not limited to:

- vases;
- candle holders;
- lanterns;
- charger plates;
- table décor;
- props;
- furniture;
- signage;
- decorative structures; and
- any other items supplied by Avari Events Limited.
The Client acknowledges that Hire Items are supplied solely for use during the Event and are not gifts, favours or items for guests to take home unless expressly agreed in writing by Avari Events Limited.
Any assumption by guests that items may be removed shall not reduce or remove the Client’s responsibility under these Terms and Conditions.
10. OWNERSHIP & TITLE
All Hire Items supplied by Avari Events Limited remain the exclusive property of Avari Events Limited and/or its suppliers at all times unless expressly agreed otherwise in writing.
No ownership, title or rights in any Hire Item shall transfer to the Client under any circumstances.
The Client shall not:
- sell;
- gift;
- lend;
- hire out;
- transfer;
- dispose of;
- modify;
- damage;
- remove from the Venue; or
- permit any third party to remove
any Hire Item without prior written consent from Avari Events Limited.
All Hire Items are supplied solely for use during the agreed Event and must be returned to Avari Events Limited or made available for collection as instructed.
Any attempt to treat Hire Items as personal property, gifts, favours or purchased goods shall not affect Avari Events Limited’s ownership rights.
11. CLIENT RESPONSIBILITIES

- Event date and timings;
- Venue details;
- access arrangements;
- guest numbers;
- layout requirements;

The Client must ensure that guests and third parties do not interfere with, move, damage or remove Hire Items.
The Client must appoint a suitable representative who can communicate with Avari Events Limited during the Event where reasonably required.
Where the Client or representative is unavailable, Avari Events Limited may make reasonable decisions regarding styling, placement, installation or safety requirements
12. VENUE REQUIREMENTS & RESTRICTIONS
The Client is solely responsible for ensuring that the Venue permits the installation, use and removal of all Services and Hire Items supplied by Avari Events Limited.
The Client must obtain all necessary permissions, approvals, licences, consents and authorisations required by the Venue or any relevant authority before the Event.

Where Venue rules prevent, restrict or affect the planned installation, Avari Events Limited reserves the right to make reasonable adjustments to the design, layout or installation method.
No refund, reduction or compensation shall be payable where changes are required due to Venue restrictions, permissions or requirements outside Avari Events Limited’s control.
13. STAGING, PLATFORMS & STRUCTURES
Where stages, platforms, backdrops, structures or raised areas are required, the Client is responsible for ensuring that any structures not supplied by Avari Events Limited are:
- correctly installed;
- safe;
- suitable for their intended purpose;

Avari Events Limited accepts no responsibility for delays, alterations, additional costs or limitations arising from:
- incorrect measurements;
- unsuitable structures;
- incomplete preparation;
- unsafe conditions;

Where Avari Events Limited supplies stages, platforms or structures, these remain the property of Avari Events Limited and must not be moved, altered or used outside their intended purpose.
14. LINEN, CHAIR COVERS & STYLING ITEMS
Where linen, chair covers or similar styling services are included within a Booking, the Client must ensure that tables, chairs and relevant areas are correctly positioned and ready before Avari Events Limited begins installation.
If tables, chairs or other areas are not prepared at the agreed time:
- additional labour charges may apply;
- installation may be delayed;
- installation may be reduced or incomplete;
- no refund or compensation shall be provided for delays caused by the Client or Venue.
The Client is responsible for ensuring that Venue furniture is suitable and compatible with any linen, chair covers or styling products ordered.

- incorrect measurements;

Requests made within four (4) weeks of the Event may be declined or may incur additional charges due to preparation commitments, stock allocation and availability.
Avari Events Limited reserves the right to make reasonable substitutions where a specific item becomes unavailable due to circumstances outside our control.
Any substitute item will be of equal or similar quality, value and style wherever reasonably possible.
16. PACKAGES, OFFERS & PROMOTIONS

For the purposes of these Terms and Conditions, an Event refers to the complete function or occasion booked by the Client, regardless of whether it includes multiple rooms, sessions, locations or parts.
Any attempt to combine, separate or duplicate packages or promotional offers outside the agreed terms will result in Avari Events Limited recalculating charges based on the correct applicable pricing.
Avari Events Limited reserves the right to withdraw, amend or refuse promotional offers at any time before a Booking is confirmed.
17. FRESH & ARTIFICIAL FLOWERS, BESPOKE ITEMS & CUSTOM WORK
Where a Booking includes fresh flowers, artificial flowers, floral arrangements, bespoke designs, personalised products or specially sourced materials, the Client acknowledges that these items may be prepared, purchased or created specifically for their Event.
Fresh flowers, artificial floral arrangements, bespoke items and personalised products may involve advance preparation, sourcing, ordering and production.

- stock changes.
Where necessary, Avari Events Limited reserves the right to substitute floral components with alternatives of similar quality, value, colour and appearance.

No refund or compensation shall be payable where changes are required due to safety concerns, Venue restrictions or circumstances outside Avari Events Limited’s reasonable control.
The Client remains responsible for the overall safety of guests and the Event environment.
